As a data-driven recruiting agency, we were already fast, but the lab showed that there was even more know-how slumbering under the hood. We dissected the entire funnel, collected ideas &#8211; and are now implementing them step by step. The technology becomes the central nervous system: decisions, workflows and team structures are created from the outset in such a way that <strong data-start=\"308\" data-end=\"334\">artificial intelligence<\/strong> collects data, recognizes patterns and triggers actions, while humans provide context, set priorities and ensure trust.  Companies such as Anthropic or Databricks show what this means in figures: single-digit team sizes, double-digit million sales in just a few quarters &#8211; not because they are bigger, but because they are faster and more focused.  <\/p><p>The paradigm shift has three consequences (according to Forbes*):<\/p><ol data-start=\"777\" data-end=\"1286\"><li data-start=\"777\" data-end=\"909\"><p data-start=\"780\" data-end=\"909\"><strong data-start=\"780\" data-end=\"828\">AI-led business instead of IT-led AI.<\/strong>  Departments control the models, IT provides secure, scalable basic frameworks.<\/p><\/li><li data-start=\"910\" data-end=\"1058\"><p data-start=\"913\" data-end=\"1058\"><strong data-start=\"913\" data-end=\"936\">New success moats:<\/strong> Proprietary databases, trusted brands and speed of customization are replacing traditional economies of scale.<\/p><\/li><li data-start=\"1059\" data-end=\"1286\"><p data-start=\"1062\" data-end=\"1286\"><strong data-start=\"1062\" data-end=\"1084\">Changed balance sheet:<\/strong> Tech spend increases, personnel costs fall &#8211; not because jobs disappear, but because smaller, highly specialized teams work together with the machine to achieve more.<\/p><\/li><\/ol><p data-start=\"1288\" data-end=\"1638\">For recruiting teams, this means that processes, KPIs and roles are designed in such a way that algorithms are not tacked on, but embedded &#8211; as in our <strong data-start=\"1450\" data-end=\"1473\">AI-first recruiting approach<\/strong>. Those who make the change early on will build an organization that finds talent faster, evaluates it more fairly and retains it more sustainably than any conventional structure. <\/p><p data-start=\"1288\" data-end=\"1638\"><em>*Forbes &#8220;From remote-first to AI-first mindset&#8221;: <a href=\"https:\/\/www.forbes.com\/sites\/juliadhar\/2025\/06\/18\/exactly-what-is-an-ai-first-company\/\" target=\"_blank\" rel=\"noopener\">https:\/\/www.forbes.com\/sites\/juliadhar\/2025\/06\/18\/exactly-what-is-an-ai-first-company\/<\/a><\/em><\/p><h2 data-start=\"1288\" data-end=\"1638\"><strong>From Remote-First to AI-First<\/strong><\/h2><p>Remote work has been in our DNA since 2014, and when it became a game changer for many companies in 2020, we were already at the forefront: scaling faster, talent everywhere. But remote brings friction &#8211; lots of tools, lots of hand-offs, lots of copy-paste. The next evolutionary stage followed in 2024: <strong>AI-First<\/strong>. Not as a buzzword, but as an attitude: every task first triggers the question &#8220;Can AI (partially) take over and leave us room for the human element?&#8221;   <a href=\"https:\/\/kooku-staging.digitalagenten.com\/wp-content\/uploads\/2025\/06\/Vom-Remote%E2%80%91First-zum-AI%E2%80%91First%E2%80%91Mindset-Kooku-Recruiting-Beratung.png\"><img fetchpriority=\"high\" decoding=\"async\" class=\"alignright\" src=\"https:\/\/kooku-staging.digitalagenten.com\/wp-content\/uploads\/2025\/06\/Vom-Remote%E2%80%91First-zum-AI%E2%80%91First%E2%80%91Mindset-Kooku-Recruiting-Beratung-284x300.png\" alt=\"\" width=\"284\" height=\"300\"><\/a><\/p><p>We used the <strong>ADKAR framework<\/strong> &#8211; Awareness, Desire, Knowledge, Ability, Reinforcement &#8211; and translated it into everyday language:<\/p><ul data-spread=\"false\"><li><p><strong>Awareness<\/strong> &#8211; data shows where time is lost.<\/p><\/li><li><p><strong>Desire<\/strong> &#8211; prompt playground instead of PowerPoint sermon.<\/p><\/li><li><p><strong>Knowledge<\/strong> &#8211; Dashboards make effects visible.<\/p><\/li><li><p><strong>Ability &amp; Reinforcement<\/strong> &#8211; mini-pilots, weekly check-ins, celebrate success.<\/p><\/li><\/ul><p>The team experienced AI not as a loss of control, but as a skills upgrade &#8211; and I saw how much potential there is even in a well-established process.<\/p><p>According to a BCG analysis*, AI-first companies work with up to 30% leaner teams. As an agency, we naturally do not want to streamline our teams &#8211; because our employees are our capital!  However, we can pass on our time savings and cost benefits to our customers on a one-to-one basis.  <\/p><p><em data-start=\"327\" data-end=\"376\">*BCG, &#8220;Building an AI-First Organization&#8221;, 2025: <a href=\"https:\/\/media-publications.bcg.com\/AI-First-Organization.pdf\" target=\"_blank\" rel=\"noopener\">https:\/\/media-publications.bcg.com\/AI-First-Organization.pdf<\/a><\/em><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-758a0c2 elementor-widget elementor-widget-text-editor\" data-id=\"758a0c2\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2 style=\"text-align: left;\" data-pm-slice=\"1 2 []\"><strong>Process map as turbo &#8211; why we cast every detail in BPMN<\/strong><\/h2><p style=\"text-align: left;\">As <strong>a recruiting agency<\/strong>, we have to offer clearer and faster processes than any in-house team. Our claim: When HR managers give up, we come in and deliver. <\/p><p style=\"text-align: left;\">Together with our <strong>Head of Recruiting Operations<\/strong>, an overarching working group is currently documenting every process step in <strong>BPMN<\/strong> &#8211; from the first Boolean string to onboarding feedback. This allows us to see at a glance <strong>where automation makes sense, where humans remain indispensable<\/strong> and <strong>how we can set SLAs<\/strong> that are faster than traditional in-house cycles. We initially used <a style=\"text-align: center; background-color: #ffffff;\" href=\"https:\/\/www.lucidchart.com\/pages\">Lucidchart<\/a> as a tool, but then switched to <a style=\"text-align: center; background-color: #ffffff;\" href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/visio\/flowchart-software\">Microsoft Visio<\/a> because it was included in our Office365 license.  <\/p><p style=\"text-align: left;\">The first result: we were able to identify a bottleneck in the matching of requirement profiles and (anonymized) CVs and set up AI-based assistants to do the screening and matching in seconds instead of minutes. Via <strong>Microsoft Lists<\/strong>, directly in MS Teams, every recruiter can save, evaluate and iterate prompts. The library is growing daily &#8211; and now saves an average of <b>15 minutes per recruiting task compared to the process times in 2022 <\/b>(by the way, we use <a href=\"https:\/\/toggl.com\/\">Toggl Track: Time Tracking Software for Any Workflow<\/a> for exact time recording and evaluation).  <\/p><p>At the same time, our <strong>co-pilot &#8220;KAi&#8221;<\/strong> is available to all employees as a chat partner &#8211; both in the public <strong>AI First channel<\/strong> in MS Teams and individually <b>as a chat partner in teams<\/b>: Refine interview questions, test Boolean strings, summarize candidate insights.
